This Privacy Policy explains how the Doqify Automations browser extensions and the Doqify CRM Platform (together, “the Tools”, “we”, “us”) handle information when you use them. It applies to the Documentation Automation extension, the AI OCR & Verification extension, the DS-160 AI Autopilot, the UK Standard Visitor AI Autopilot, and the Doqify CRM Platform.

1. Information the Tools handle
To do their job, the Tools process the files and details you choose to give them, which may include:
- Documents you upload (such as passports, bank statements, photographs and supporting files);
- Applicant details extracted from those documents (name, date of birth, passport number, travel and education details, and similar);
- The content the Tools generate from that information (drafted letters, reports and form entries).
This information is provided by you and relates to your own clients. You are responsible for having the appropriate consent from your clients to process their information using the Tools, and for meeting your own obligations under applicable law — including India’s Digital Personal Data Protection Act, 2023 and, where relevant to your clients, the UK and EU GDPR.
2. How the information is processed
The Tools are AI-integrated. To generate drafts, perform OCR, verify documents and fill forms, the relevant content is sent to a third-party AI provider (Anthropic) using an API key that you supply and control. That request goes directly from your browser to your own AI provider account.
We do not operate a server that receives, processes, or stores your documents or applicant data. We do not have access to your API key or to the content you process.
3. Where data is stored
- Your API key and the Tools’ settings are stored locally in your browser.
- Records, history, extracted document data and generated documents that a Tool saves are stored locally on your device, in the browser’s own storage, unless you choose to export or save them elsewhere.
- To avoid paying to read the same file twice, a Tool may keep a local copy of what it previously extracted from a document. This never leaves your device and is removed whenever you clear the Tool’s stored data.
- Data sent to your AI provider is governed by that provider’s own privacy policy and terms.
4. The CRM Platform
The Doqify CRM Platform is installed on your own domain, hosting and database. Client records, documents, messages and invoices are stored in your database, on infrastructure you control and administer. We do not host it, do not hold a copy of it, and have no standing access to it.
Where you enable AI features inside the CRM, they use an API key you configure on your own server, and requests go from your server directly to the AI provider.
5. Your role and ours
In data-protection terms, you are the controller of your applicants’ personal data: you decide what is collected, why, and how long it is kept. We supply software; we do not determine the purpose of the processing and we do not receive the data.
Where we provide setup, customisation or support and you choose to share sample files with us for that purpose, we handle them only to complete that task and delete them afterwards. We recommend anonymising anything sent to us for support.
6. What we do not do
- We do not collect or store your applicants’ personal data on our servers.
- We do not sell or share your data with advertisers or third parties.
- We do not use your applicants’ documents to train any model.
- We do not track your browsing or collect analytics about how you use the Tools.
7. Third-party services
The Tools rely on your chosen AI provider (Anthropic) to function. When you use the Tools, your processing is subject to that provider’s privacy policy. The DS-160 AI Autopilot interacts with the official U.S. CEAC website; the UK Standard Visitor AI Autopilot interacts with the UK government’s Access UK service; and both, optionally, with Google Drive if you connect it. Where live flight search is enabled, those queries go to the search provider you configure. Each is governed by its own terms.
8. Permissions
The extensions request only the browser permissions needed to function — such as reading the page being filled, accessing files you upload, and storing your settings locally. They do not track your browsing or collect analytics about you.
9. Data retention & control
Because data is handled locally and through your own provider account, you remain in control of it. You can clear the Tools’ locally stored data at any time — including saved records and any locally cached document extractions — by clearing the extension’s storage or uninstalling it. For the CRM Platform, retention is governed entirely by your own database and backup policy.
10. Human review
The Tools are drafting and verification aids, not decision-makers. Generated documents are editable and intended for review by a qualified person before use. The form autopilots stop before the declaration and payment stages — nothing is submitted, signed or paid for without a person reviewing and confirming it.
11. Children
The Tools are intended for use by professional visa and immigration consultancies and are not directed at children.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the “Last updated” date above.
